International Administrative Support Specialist in Toronto, Ontario
The Administrative Support Specialist is responsible for providing administrative support including maintaining department files, process invoices for payment, track department expenses, process royalties, requesting and updating ISBN, organizing meetings, and updating product information in Oracle as well as supporting the editorial staff.
Editorial Contribution:
Communications with contributors (authors, reviewers, research participants)
Managing logistics for focus groups and workshops
Manuscript review management and collation
Editorial tasks:
proof-reading,
copy-editing
checking reprints
testing digital products (e.g. review ePubs, check the live activities, record issues, create Content Logs, proofread metadata sheets,
curriculum correlations
Product Creation and Information Management:
Request ISBNs sets up through Global Product Creation
Maintain Master ISBN database
Keep product information up to date, fix hierarchy, pricing, royalty bearing indicators, and other product attributes in Product Data Hub
Open tickets for issues on the various systems
Contributor Contract Management
Keep up to date contact information of authors, consultants, reviewers, field test teachers, freelancers, etc.
Keep track of the POs and connect with the vendors to confirm payment receipt
Maintain database of Author contracts and contract briefs; ensure terms are maintained (e.g. tracking events authors owe as per contract)
Manage advances in the royalties system (IPM )
create and maintain author royalty deals in IPM system
Budget Management
Tracking budgets
Invoices and cheque requisitions
Create and track PO’s through Global Product Creation
Sales, Marketing and Customer Support:
Support sales coordinator’s reporting function
Coordinate with the digital team for subject product support
Our Ideal Candidate:
Completion of post-secondary education or equivalent experience
A minimum of 2 years of work experience
Excellent communication and organizational skills
Proficient with computers including Microsoft Office
Strong attention to detail
Multitasking capabilities
Adaptable problem-solver and team player who enjoys working in a fast-paced environment
